Whether this is your first time planning an out-of-town event for your colleagues and teammates or just one of the many successful corporate gatherings you have already had, forming a concrete plan makes the process a whole lot easier. So, if you have been assigned to lead the planning of your big seminar or team-building trip, check out this list that we have come up with to know the best way to take on this task.
One of the key essential tips in planning an out-of-town event is to know the purpose of the trip. With that in mind, it will be easier for you to break down everything you will need from start to finish. Is it mainly for the team to get to know each other better? To survey a certain area? Or plainly to give the employees a change of scenery? The answer to these questions will help you determine the best concept and format for the big day.
For this one, balance is the key. So, after figuring out the main purpose of your event, it is time to do the math. Calculate everything you will possibly need – from the transportation to the accommodation and food of all attendees. Make sure to prepare a clear breakdown of expenses so it will be easier for you to present your proposed budget to the human resources team or your manager.

After you’ve settled the two most important details, it’s now time to choose the date and location. Come up with a list of possible schedules, and weigh the pros and cons of each. If you plan on holding your event at a beach destination like Boracay, Palawan, or Bohol, best to choose a week during the summer season. If you want to give everyone a breather in Tagaytay, then the –ber months are your best bet.
There are a lot of venues and function rooms that are readily available for all kinds of events. But if you are on the lookout for one that has complete amenities and is conveniently located, then just choose from the list of Astoria outlets! We have a big banquet hall at Astoria Current, our lovely resort in Station 3, Boracay. We also have the crowd-favorite Mangrove Conference and Convention Center at Astoria Palawan in Puerto Princesa. If you want a venue just outside of Metro Manila, we accept intimate events at IDK. Inom. Kain. Drama. at Stellar Potter’s Ridge in Tagaytay, too!
Are you a member of Astoria Vacation and Leisure Club, Inc. (AVLCI)? Then you’re in luck! AVLCI members get 10% off when booking an event at any of our banquet halls in the country!
Having a holiday ownership in the Philippines really pays off!
